At first contact, a concise description of the matter is sufficient. Do not send sensitive or confidential evidence unless an appropriate transmission method has been agreed. Describe the matter first, identify the type of evidence involved, and wait for transmission instructions where sensitive material is concerned. How personal data is handled is set out under Privacy and Data Processing.
The process follows three steps. Each happens only after the previous point has been agreed, and neither side is committed before the scope is clear.
The enquiry is read closely enough to identify what kind of discussion it calls for, and whether it belongs with WEETRA at all.
Where the matter concerns a review, the scope, the evidentiary corpus and the appropriate Review Level are discussed before any evidence is formally reviewed.
Evidence enters the review process only through the agreed intake and mandate process, not through the initial exchange.
WEETRA will read the context provided and respond through the appropriate contact channel.

An initial enquiry does not itself create a WEETRA review mandate or a Determination. The applicable scope has to be defined before review begins, and the detailed allocation of responsibility is set out in Mandate & Institutional Boundaries.
